Julius Charles Foundation Donation Policy

Julius Charles Foundation (“we”, “us”, “our”) is committed to using all donations responsibly, transparently, and in line with recognized international non‑profit and NGO best practices. This Donation Policy explains how we receive, manage, and use donations, as well as the rights of our donors.
1. Scope and Purpose
This policy applies to all types of donations made to Julius Charles Foundation, including but not limited to:
- One‑time and recurring monetary donations
- Corporate and institutional contributions
- In‑kind (non‑cash) donations
- Grants and sponsorships
Its purpose is to:
- Ensure donations are used ethically and effectively in support of our mission
- Protect the rights of donors
- Promote transparency and accountability in our fundraising and financial management
2. Types of Donations Accepted
We may accept the following types of donations:
- Monetary Donations
- Via bank transfer, credit/debit card, mobile money, online payment platforms, cheques, or other approved channels
- In currencies that our banking partners are able to process
- Recurring Donations
- Monthly, quarterly, or annual contributions set up through our donation platforms or banking arrangements
- In‑Kind Donations
- Goods, equipment, professional services, or other non‑cash items that directly support our mission
- All in‑kind donations must be pre‑approved to ensure they are appropriate, useful, and cost‑effective to manage
- Corporate and Institutional Donations
- Contributions from companies, foundations, governmental and inter‑governmental organizations, and other institutions
We reserve the right to decline any donation that is inconsistent with our mission, values, or legal and ethical obligations.
3. Use of Funds
All donations are used to advance the mission and programs of Julius Charles Foundation. In practice, this may include:

- Supporting beneficiaries and communities
- Capacity building, staff support, and training
- Operational and administrative costs necessary to sustain our work
- Monitoring, evaluation, and learning to improve impact
Unless a donation is explicitly designated and we have agreed in writing to restrict it to a specific project or purpose, donations are treated as unrestricted and may be allocated where the need is greatest.
When we accept restricted donations:
- Funds will be used only for the agreed purpose as far as reasonably possible
- If the original purpose is no longer feasible (for example, due to changing circumstances), we may redirect funds to a similar purpose or to priority needs, following applicable laws and, where practicable, in consultation with the donor

Donors have the right to:- Receive truthful and timely information about our mission, programs, and the use of funds
- Access our annual reports, key financial information, and impact summaries, where available
- Right to Acknowledgment and Recognition
- Donors will receive appropriate acknowledgment and a receipt for their contributions, where contact details are provided
- Donors may choose to remain anonymous, and we will honor that request to the extent permitted by law and our reporting obligations
- Right to Privacy and Confidentiality
- Personal and financial information will be treated as confidential and handled in line with our data protection practices (see Section 5)
- Right to Ask Questions and Provide Feedback
- Donors may contact us at any time with questions, feedback, or concerns about their donation or our use of funds
5. Data Protection and Privacy
We are committed to protecting the personal data of our donors.
- We collect only the information necessary to process donations, issue receipts, comply with legal requirements, and maintain donor relations.
- Personal information will not be sold, rented, or traded.
- Donor data may be shared with trusted third‑party service providers (e.g., payment processors, mailing platforms) strictly for the purpose of processing donations or communicating with donors, and subject to confidentiality obligations.

6. Tax and Legal Considerations
- The tax deductibility of donations depends on the laws and regulations of the donor’s country or jurisdiction and the legal status of Julius Charles Foundation in that jurisdiction.
- Donors are responsible for seeking their own independent tax, legal, or financial advice regarding the treatment of their donations.
- Where possible and applicable, we will provide receipts or confirmations that donors may use for local reporting or tax purposes.
We comply with applicable laws and regulations in the countries and regions where we operate and receive funds.
7. Refunds and Cancellations
As a general principle, donations are non‑refundable. However, we recognize that errors can occur.
- Refunds
A refund may be considered in the following limited circumstances:- A duplicate donation was made in error, The wrong amount was entered, transaction was unauthorized or fraudulent
- Event‑Related Donations
Where donations are linked to a specific event or campaign, any special terms regarding cancellations, refunds, or substitutions will be clearly communicated at the time of giving.
Refunds will be made, where approved, using the original payment method wherever reasonably possible.
8. Recurring Donations
Donors may choose to support us through recurring contributions.
- By setting up a recurring donation, the donor authorizes Julius Charles Foundation (and/or our payment processors) to debit their chosen payment method at the agreed frequency.
- Donors may change or cancel their recurring donation at any time by contacting us or, where available, by modifying their settings through the donation platform.
- Changes or cancellations should be made sufficiently in advance of the next scheduled payment to ensure they take effect in time.
If a recurring payment fails, we may contact the donor to update their payment details or confirm their intention to continue support.
9. Corporate, Institutional, and In‑Kind Donations
We welcome support from companies, institutions, and partners whose values align with our own.
- Corporate and Institutional Support
- All potential partnerships are reviewed to ensure they do not compromise our independence, integrity, or reputation.
- We may decline support from entities whose activities or public positions conflict with our mission, values, or ethical standards.
- In‑Kind Donations
- In‑kind donations are accepted only when they are safe, appropriate, and cost‑effective to store, transport, and distribute.
- We reserve the right to decline in‑kind donations that are unusable, unsafe, or do not meet the needs of our programs.
Where necessary, we may enter into written agreements to define how corporate, institutional, or in‑kind support will be used and recognized.
10. Anti‑Money Laundering and Anti‑Corruption
Julius Charles Foundation is committed to preventing misuse of its resources and reputation.
- We take reasonable steps to verify the identity of significant donors and the lawful origin of sizable contributions, in line with applicable anti‑money‑laundering (AML), counter‑terrorist financing (CTF), and anti‑corruption standards.
- We do not accept donations that are known or suspected to be linked to illegal activities, terrorism, corruption, or any other criminal conduct.
- If there are serious concerns about the source of funds or the intentions behind a donation, we may decline or return the donation and, where required, report the matter to the relevant authorities.
11. Transparency, Reporting, and Accountability
We are committed to openness and accountability in our use of donated funds.
- We strive to publish clear information about our programs, impact, and finances through our website, reports, and other communications.
- Our financial records are maintained in accordance with applicable accounting standards and may be subject to internal and external audits.
- Upon request, and where reasonably practicable, we can provide donors with general information showing how their support contributes to our mission.
12. Changes to This Policy
We may update this Donation Policy from time to time to reflect changes in our practices, legal requirements, or operational needs.

- Continued donations following such changes will be deemed acceptance of the revised policy.
